Client Brief

 

The Ministry of Foreign Affairs and Cooperation in Timor-Leste hosted the C-24 Pacific Regional Seminar, welcoming members of the United Nations Committee on Decolonisation (C-24). This meeting was held under the event theme of “Pathways to a Sustainable Future - Advancing Socioeconomic and Cultural Development of the Non-Self-Governing Territories.” To support multilingual communication among participants, the client engaged Congress Indonesia to provide simultaneous interpretation in three languages throughout the meeting.

Our Solution

To meet the client’s multilingual interpretation requirements, Congress Indonesia delivered an integrated interpretation solution, providing interpretation in three languages: English, Portuguese, and French. These were distributed to 100 receivers for delegate use.

 

A total of 77 microphone units were supplied to ensure seamless audio management and active delegate participation. Interpreter booths were not supplied for this event, as simple and efficient equipment transportation was required due to the logistical constraints of the event’s location. Overcoming this challenge, Congress Indonesia, through The Ministry of Foreign Affairs and Cooperation of Timor Leste, collaborated with local partners who provided interpretation booths. Additionally, local partners also supplied audio and camera equipment.

 

Our conference microphone system played a key role in the smooth delivery of the event, as each unit featured built-in language selection, allowing delegates to listen to interpretation directly through their microphones.

 

Our team conducted a virtual site visit ahead of the event to understand the venue and its requirements. The setup process was straightforward but was slightly delayed while the Congress Indonesia team awaited final confirmation of delegate numbers and names, which were programmed directly into the microphone units to personalise each station.

Challenges and Solutions

 

​The event presented logistical challenges due to the need to transport equipment from Indonesia to Dili, Timor-Leste. With a short turnaround between events, Congress Indonesia had limited time to arrange logistics. To prioritise the client, Congress Indonesia transported equipment from Jakarta to Bali for ease of collection and onward transportation to Dili. Although freight transport was managed by the client, Congress Indonesia maintained close and consistent communication throughout the process to ensure a smooth and efficient delivery.

The Outcome

 

Overall, the event was both highly successful and innovative, gaining praise from the Ministry of Foreign Affairs and Cooperation of the Democratic Republic of Timor-Leste for Congress Indonesia’s state-of-the-art equipment and exceptional technical support. Delegates were particularly impressed by the conference microphone units, which featured display screens, built-in language selection, and customised logos, which all contributed to a seamless and professional multilingual experience. Despite the logistical challenges, Congress Indonesia successfully delivered a high-quality outcome, exceeding expectations for both the client and delegates.
